Acceptable Use Policy

This policy forms part of our Terms of Service. It exists because identity verification can be misused, and the people most exposed to that misuse are job seekers, who are rarely in a position to push back. Breaking these rules is a material breach of the Terms.
Permitted use
VeriAxis may be used to verify the identity of a person with whom you have, or are genuinely considering, an employment, staffing, contractor, or volunteer relationship, in connection with that relationship. That is the whole of the permitted purpose.
Prohibited use
Against the individual
- Verifying anyone without a genuine employment-related reason, including out of curiosity, suspicion, or personal interest.
- Any form of stalking, surveillance, monitoring of an ex-partner or family member, or tracing a person who does not wish to be found.
- Locating a debtor, a witness, a party to litigation, or a person of interest to law enforcement.
- Verifying a person under the age of eighteen.
- Entering a telephone number that is not the candidate's own, or attempting to complete a verification on their behalf.
- Pressuring, coaching, or misleading a candidate through the consent step, or presenting consent as compulsory when it is voluntary.
Discrimination and unfair treatment
- Applying verification selectively on the basis of race, colour, national origin, religion, sex, sexual orientation, gender identity, age, disability, pregnancy, veteran status, genetic information, or any other protected characteristic.
- Using an unverified or mismatched result as the sole reason to reject a candidate, which our Terms forbid outright.
- Refusing every alternative to a phone-based check, which disadvantages people without a mobile line in their own name and can create disparate impact.
- Ordering a credit check where the role has no genuine financial responsibility, or where the candidate's state or city restricts or prohibits it.
Outside the employment context
- Tenant screening, lending or credit eligibility, insurance underwriting, or determining eligibility for a government benefit or licence.
- Any purpose that would make VeriAxis a consumer reporting agency under the Fair Credit Reporting Act.
- Age or identity gating for a consumer product, marketplace, or dating service. That is a different product with different obligations; talk to us instead of repurposing this one.
Data and messaging
- Sending marketing of any kind to a number collected through a verification.
- Selling, renting, or otherwise disclosing candidate data obtained through the service to anyone other than the client for whom the candidate is being placed.
- Retaining exported results longer than your own lawful retention policy allows, or storing them without appropriate security.
- Combining results with other data to build a profile of a candidate that follows them between employers.
- Bulk verification of a purchased, scraped, or otherwise unsolicited list of telephone numbers. Every request must correspond to a real, identifiable candidate.
Technical
- Probing, scanning, or testing the security of the service without our written permission, other than good-faith research reported under our disclosure process.
- Circumventing rate limits or authentication, scraping the service, or accessing another workspace's data.
- Reselling, sublicensing, or white-labelling the service without a written agreement.
- Using the service to develop a competing product, or benchmarking it for publication without our written consent.
- Introducing malware, or using the service to distribute unlawful, fraudulent, or deceptive content.
Enforcement
Where we reasonably believe this policy has been breached we may investigate, ask you to explain, restrict a feature, suspend the account, or terminate it. Serious cases, particularly those that put an individual at risk, may lead to immediate termination without notice and, where the law requires or permits it, a report to the appropriate authority. We aim to give notice and an opportunity to fix a problem, but we will act first when someone's safety is at stake.
Suspension for misuse does not entitle you to a refund of fees for the period of suspension.
Reporting misuse
If you believe VeriAxis is being used against you or someone else, tell us. Candidates may report directly, and you do not need to involve the employer.

We acknowledge reports within two business days. We do not disclose the identity of a person who reports misuse to the account they reported, unless the law compels us to.
